GRANT PROGRAM AssISTANt | $50K - $52K

The Grant Program Assistant’s primary goal is to make our grantmaking operations as efficient as possible while also providing a positive experience for our applicants and grantees. The Grant Program Assistant provides support to applicants regarding our Grant Portal, organizes quarterly grantmaking meetings, processes grants, and assists with technology-based systems. This is a full-time, non-exempt position and reports to the Grant Program Director.

Responsibilities

Pipeline

  • Screen phone and email requests from the general public

  • Research people and organizations that register on our Grant Portal to confirm eligibility and prevent fraud

  • Support applicants in their use of our grantmaking software, Fluxx, and our Grant Portal

Letters of Inquiry (LOIs)

  • Conduct due diligence research on applicants

  • Prepare LOI records in Fluxx

  • Create LOI Docket spreadsheet

  • Schedule LOI Review Meetings with Executive Director

Applications

  • Prepare application records in Fluxx

  • Assign and send review assignments to reviewers

Meetings Related to the Board of Directors

  • Serve as primary point of support for meetings of the Grant Advisory Committee (GAC): scheduling, monitoring attendance

  • Prepare GAC meeting materials: application packet, docket spreadsheet, agenda, slide deck

  • Manage online meeting technology during GAC meetings

  • Draft and manage editing and signing of GAC meeting minutes

Grant Processing

  • Create grant award packets via DocuSign and track completion

  • Collect and verbally verify grantee banking information

  • Get approvals for and track grant payments

  • Maintain grant records in Fluxx

Communications

  • Create and send outreach emails

  • Maintain outreach email list

  • Create and maintain informative materials on website and Grant Portal

  • Coordinate applicant informational sessions

Data & Research

  • Conduct quantitative research on grant records, as needed

  • Prepare metrics and infographics for annual report and reports for funders, as needed

Technology

  • Perform maintenance on Fluxx, as needed

Other

  • Intern support & supervision, as needed

  • Funder Network: Member contact management and meeting logistics, as needed

  • Learning at grantmaking and technology-related events

  • Other projects and tasks assigned by the Grant Program Director, as needed

Qualifications and Required Experience

  • Demonstrated interest in one of the following fields: legal, philanthropic, or nonprofit management

  • Strong commitment to social justice and the mission of the Impact Fund 

  • Detail oriented, with an ability to catch small errors on forms and spreadsheets

  • Strong interpersonal skills; friendly communicator in writing and verbally; ability to empathize with our applicants and grantees 

  • Strong computer skills, with interest in learning new software

    • Required proficiency in Microsoft Office Suite and Zoom

    • Desired proficiency in Fluxx, DocuSign, Constant Contact, Piktochart / Canva, and Tableau

  • Extremely organized with ability to manage own time effectively

  • Experience with organizing projects and tasks and with scheduling meetings

  • Research skills related to both online research and light data analysis

  • Bachelor’s Degree 

  • 0-3 years office experience

  • Ability to travel occasionally within the Bay Area

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.

  • Must be able to lift up to 15 pounds at times.

  • Full-time salary ranging from $50,000 to $52,000, based on experience
